Ever tried a productivity hack, felt excited about it for a day or two, and then watched it quietly disappear? If you assumed you did something wrong, I want you to hear this first: chances are, you didn’t. In this episode, I’m sharing seven simple time management tips you can start using today to boost your daily productivity, plus the honest truth about where each one tends to fall apart, so you can actually make it work in real life.

1. The 2-Minute Rule

If a task takes less than two minutes, do it immediately instead of adding it to your list. Every small task you postpone still costs you mental energy just by sitting there unfinished. Reply to the quick email, load the dishwasher, send the calendar invite, and move on.

Where it falls apart: our eyes are bigger than our stomachs. A task that feels like a two minute job can quietly turn into ten, then fifteen, then thirty. Use this one with a little self-awareness about what actually fits inside two minutes.

2. Time Block Your Top 3

Before you check email, block time on your calendar for your top three priorities of the day. Whoever gets your attention first shapes your entire day, and for most of us that’s our inbox. Deciding your top three in advance, then protecting real windows of time for them, keeps your day centered on what matters most to you.

Where it falls apart: this hack only works if you do it first, before opening email or anything else. Once your inbox gets there first, someone else’s priorities take the wheel.

3. The Reset Ritual

A short reset between tasks helps you avoid carrying stress from one task into the next. This connects to something researchers call attention residue, where part of your brain keeps processing the last thing even after you’ve moved on to something new. Stand up, take a few breaths, and glance at what’s coming next before you dive in.

That small pause creates a clean transition instead of letting a hard conversation or a stressful email bleed into whatever comes next.

4. Batch Your Notifications

Your phone and its notifications exist for your convenience, not to make it easier for other people to steal your time. Every interruption costs more than the few seconds it takes to glance at your phone, since research on attention residue suggests it can take up to thirty minutes to fully regain focus afterward.

Choose two or three set windows during the day, maybe mid-morning, after lunch, and late afternoon, and check messages only then. Start small if this feels uncomfortable at first. Most messages simply aren’t as urgent as they feel in the moment.

5. The One Tab Rule

Close every browser tab except the one you’re actively working in. Open tabs act like small, unfinished loops your brain keeps quietly tracking, even when you’re not looking at them. Before starting a task, close everything except what that task needs, and reopen anything else later if you need it.

6. Prep the Night Before

Glance at tomorrow’s calendar and identify your top priority before you shut down for the night. Most morning stress doesn’t come from the day itself, it comes from starting without a plan. Two minutes of prep tonight means you wake up already knowing where to focus.

Where it falls apart: it’s easy to pop in to check your calendar and get pulled into a Slack message, which turns into another hour of work. Do your best to avoid the “just one more thing” trap.

7. The 10-Minute Timer Trick

When you’re avoiding a task, commit to just ten minutes. We tend to avoid tasks because starting feels harder than the task actually is. Setting a timer for ten minutes lowers the bar enough to get moving, and once you’re a few minutes in, momentum usually carries you well past the timer.

One important note: use a non-phone timer, like a kitchen timer or a cube timer, instead of your phone. Picking up your phone to set a timer risks getting pulled into a notification before you even start. My favorite timer is linked below.

The Sprinkles, not the Cake

These seven time management tips are the sprinkles, not the cake. Your vision, your values, and your priorities are the real foundation, and your routines and schedule are the icing on top. Sprinkles are fun and they genuinely help, but they were never meant to hold everything together on their own.
